BOOKING TERMS & CONDITIONS

Cancel booking during ‘Cooling Off Period’

1. You must email the onsite teams confirming your request to cancel within 7 days of making your booking.

2. If you cancel within the 7-day cooling off period, we will not charge you, and we will return your deposit to you within 30 days of the cancellation being confirmed.

3. Once you receive confirmation, you will no longer be liable for the contractual obligations set out in the Tenancy Agreement.

4. Any cashback or incentives will be cancelled along with your tenancy, you will not be entitled to any payout of these offers.

5. If you have signed a joint tenancy agreement, your co-tenant must also agree to the cancellation.

6. Abodus reserve the right to amend or remove this offer without prior notice.

Cancel Booking After 7-Day cooling off period

1. All requests to cancel/replace a tenancy must be made in writing to the onsite teams.

2. Other than in exceptional circumstances approved by the Head of Operations, you must find a replacement tenant to take over your contract. We may be able to help with this if we are fully occupied and have a waiting list, however we cannot guarantee this.

3. If a replacement tenant is found after your tenancy start date, we will release you from your obligations from the start date of the new tenancy.

4. The new tenant must meet our standard criteria for a new tenancy agreement.

5. Subletting your room is prohibited.

6. You will be liable for any rent due, from your tenancy start date, up to the new tenancy start date.

7. If you have signed a joint tenancy agreement, your co-tenant must also meet the cancellation criteria and sign a new agreement within 7 days of your request to cancel your agreement, or you will both be liable for the tenancy obligations.

8. If you fail to arrange a suitable replacement tenant, you will remain liable for the full agreement.

9. Any cashback or incentives will be cancelled with your tenancy, you will not be entitled to any full or part payout of these offers.

10. A £50 administration charge will be retained from your deposit.

11. If you have occupied the room a normal check out inspection will be completed, and any reinstatement costs will be retained from your deposit.

12. All outstanding balances must be paid in full before you can be released from the tenancy.

13. If your request to cancel your tenancy agreement is approved before your check-in date, with no supporting evidence or replacement tenant found, your full deposit will be withheld. Notice to cancel must be received in writing at least 7 days prior to your tenancy start date.

14. If your request to cancel is not approved, you will remain liable for the full tenancy agreement.

15. Any remaining deposits are refunded within 30 days of check out.

16. Abodus reserve the right to amend or remove this offer without prior notice.

Exceptions T&C’s

1. All cancellation requests must be made in writing with supporting evidence within 72 hours of receiving your notification.

2. If you fail to obtain the required grades you must email the onsite team within 72 hours of you receiving your notification, including your UCAS notification which confirms your grades.

3. If your UK Visa Application is denied, you are required to email the onsite team within 72 hours of you receiving your Visa notification, including your Visa refusal documentation.

4. Your deposit will be refunded and booking cancelled, providing your request and evidence is received within specified timescale. Any deposit due will be refunded within 30 days of your cancellation being confirmed.

5. Deposits will be returned in full, unless you fail to provide suitable evidence within the specified timescales.

6. All outstanding balances must be paid in full before you can be released from the tenancy.

7. Any cashback or incentives will be cancelled along with your tenancy. You will not be entitled to any full or part payout of these offers.

8. If you have signed a joint tenancy agreement, your co-tenant must also meet the cancellation criteria and sign a new agreement within 7 days of your request to cancel yours, or you will both be liable for the tenancy obligations.

9. You will remain liable for the whole tenancy if you inform us of your need to cancel after the specified tenancy start date.

10. Abodus reserve the right to amend or remove this offer without prior notice.

Withdrawn from University

1. Only applies to first year students.

2. Withdrawal must be in the first semester and/or before 31st October in that academic year.

3. Evidence will be required to support your request.

4. If released, you will remain liable for the rent up to the cancellation date.

5. Any cashback or incentives will be cancelled along with your tenancy agreement. You will not be entitled to any full or part payout of these offers.

6. All outstanding balances must be paid in full prior to tenancy release.

7. Normal check out inspection will apply, and any reinstatement costs will be retained from your deposit.

8. An administration charge of £50 will be retained from your deposit.

9. Any deposit that is due will be refunded within 30 days of the cancellation being confirmed.

10. If you have signed a joint tenancy agreement, your co-tenant must also meet the cancellation criteria and sign a new agreement within 7 days of your request to cancel or you will both be liable for the tenancy obligations.

11. Abodus reserve the right to amend or remove this offer without prior notice.

Moving Rooms

1. All outstanding balances must be paid in full, prior to a move being agreed. You will not be eligible for a room change if your account is in any payment arrears.

2. Normal check out inspection will apply, and any reinstatement costs will need to be paid prior to your move.

3. If the room price is greater than your previous room type – any additional rent will be calculated from the start date of the new tenancy agreement to the end of the new tenancy agreement.

4. An administration charge of £50 will be required when application is approved.

5. Any cashback or incentives will be cancelled with your original tenancy; you will not be entitled to any full or part payout of these offers.

6. If you have signed a joint tenancy agreement, and are not moving in with the same person, your co-tenant must have agreed to the cancellation criteria and sign a new agreement within 7 days of your request to cancel, or you will both be liable for the tenancy obligations.

7. Abodus reserve the right to amend or remove this offer without prior notice.

Tenancy Release – Special circumstances

1. Abodus are not obliged to release you from your tenancy

2. Each request made under special circumstances will be reviewed on an individual basis.

3. Any decision made by Abodus is final and is not subject to appeal.

4. The request must be made by the tenant in the first instance, unless they are incapacitated, in which case an application can be made by a parent/guardian or a person holding a recognised Power of Attorney.

5. If a release from your tenancy is granted, you must pay all amounts due up to the date which the release was confirmed.

6. If you have signed a joint tenancy agreement, and your co-tenant is not effected by any of the outlined grounds for release, they must sign a new agreement within 7 days of your request to cancel your agreement and they will remain liable for the remaining tenancy.

Rent Arrears

1. Rent payments are due on or before the due dates set out in the tenancy agreement

2. Abodus site teams will aim to send reminders approximately 14 days, 7 days and 1 day before the due date, however the onus remains on the Tenant to ensure rent is paid on time regardless of whether reminders are received.

3. If rent is not paid by the due date the following process will be followed:

  • 0-7 days overdue – Initial attempts will be made to contact the resident to establish reasons for non-payment and arrange payment
  • 7 days overdue – Debt letter 1 will be sent by email and delivered to the resident
  • 14 days overdue – Debt letter 2 will be sent by email and delivered to the resident, and sent 1st Class Recorded Delivery to the Guarantor
  • 21 days overdue – Debt letter 3 (Final Letter) will be sent by email and delivered to the resident, and sent 1st Class Recorded Delivery to the Guarantor. This letter will state that if payment is not received without further delay, their case will be referred to STA International (Debt Collection Agency) within 7 days

4. If the debt is referred to STA any additional costs incurred in the recovery process will be added to the amount owed.

COVID-19 TERMS & CONDITIONS

COVID-19 SPECIAL TENANCY TERMS & CONDITIONS FOR 22-23/23-24 ACADEMIC YEAR BOOKINGS

The usual cancellation terms and conditions apply for all requests that are not EXPLICITLY related to the COVID-19 (Coronavirus) outbreak.

TRAVEL RESTRICTIONS
  1. All cancellation requests must be received in writing, with supporting evidence, no later than 14 days before your tenancy agreement start date.
  2. Supporting evidence must be in the form of an official government email or statement.
  3. Standard cancellation policy will apply for requests received after the tenancy start date.
  4. Any cashback or incentives will be cancelled along with your tenancy. You will not be entitled to any full or part payout of these offers.
  5. If you have signed a joint tenancy agreement, your co-tenant must agree to the cancellation criteria. Where applicable, they must sign a new tenancy agreement within 7 days of your request to cancel yours, or you will both remain liable for the tenancy obligations.
  6. Your deposit will be refunded and booking cancelled, providing your request and evidence is received within specified timescale. Any deposit due will be refunded
UNABLE TO TRAVEL DUE TO COVID TRAVEL RESTRICTIONS

SUMMER & SHORT STAYS

Student Summer Accommodation 

Abodus is now accepting bookings for students wishing to stay at one of our properties over summer. These bookings are outside of the normal academic year contract and pricing structure as operated by Abodus Student Living.

Summer prices do not include any other offers or incentives. All short-term contracts are subject to availability to be confirmed by the Abodus team.

Short Term Booking

A short-term booking is not restricted to the summer period; it can occur at any point during the year as agreed with Abodus. The contract length for a short-term booking and pricing are outside of the normal academic year contract.

COMPETITION TERMS & CONDITIONS

General Terms & Conditions

  1. If a prize is available, no alternative prize, or cash alternative will be available unless specified in writing.
  2. Entries must be made by a current resident in an Abodus Student Living property unless specified as open to any other external entrants.
  3. The competition will open and close on specified dates.
  4. Where a hashtag is required as detailed in the competition, no entries will be accepted if they do not use the correct hashtag.
  5. In accepting any prize, the winner consents to Abodus Student Living including them in publicity on the Abodus Student Living website and its social media platforms.
  6. The winner must contact Abodus Student Living as detailed in the competition in order to claim their prize.
Promotion Terms & Conditions 2022/23
General Promotional Offer Terms & Conditions
  1. Offers are subject to availability and are subject to change or removal without prior notice.
  2. Promotions and incentives are only valid if the claiming student satisfies the requirements which includes moving into the property and paying the first instalment of rent.
  3. Offers start and finish on confirmed dates, any bookings outside of these dates are not eligible for the offer.
  4. The student must claim their booking incentive by 15th December in the academic year the incentive applies to. If the incentive has not been received by then, the student must highlight this in writing to the Operations Manager. Incentives not received without notification to the Operation Manager become invalid.
  5. All booking incentives must be logged with the correct, valid promo code at the point of application. No incentives will be paid or issued without the relevant code.
  6. Offers are only applicable to a student’s booking once they have fully completed their application, including deposit paid and signed by guarantor. An offer won’t be applied to a student’s booking until all this criteria is met.
Refer a Friend Incentive
Refer a Friend –
  1. The Refer a Friend Incentive (Reward) on offer is £100 or £200 (where applicable); to be paid to both the student who has booked with Abodus Student Living for the pertinent academic year [the Referrer] and their friend [the Referee] who does not currently live at an Abodus Student Living site. The Referrer can be a current resident with Abodus Student Living, or booking with Abodus for the first time. The Referee must be a new booker, they cannot have lived with Abodus Student Living before.
  2. This Incentive (reward) is only applicable to Abodus Student Living accommodations/building that are promoting this incentive (reward) not all locations are eligible for this.
  3. This Reward can be used with the cash back offer if applicable, but not used in conjunction with any other offer.
  4. This Reward applies to bookings for the full academic year only at Portland Green Student Village (Newcastle), The Foundry (Leeds), Glassworks (Liverpool), and Hollingbury House (Brighton).
  5. The Reward is limited in numbers and once reached the offer will be withdrawn.
  6. To be eligible for the Reward the Referrer & Referee must have completed and signed their tenancy agreement along with guarantor, paid their first rental instalment and moved into the property.
  7. The Reward will not be paid if either the Referrer or Referee’s rent account is in arrears. Abodus Student Living reserves the right to refuse this offer to existing customers who are in breach of their tenancy.
  8. To qualify for the Reward (and subject to vouchers being available), the Referrer should ask their friend to quote the Referrer’s name when booking. The offer cannot be applied retrospectively once the booking has been made. It is essential first/last names are spelt correctly.
  9. The offer is available online and for bookings made at Abodus Student Living accommodation reception or by telephone.
  10. An unlimited number of friends may be referred (subject to vouchers being available).
  11. No cash alternative to the voucher will be offered. The vouchers are not transferrable. We reserve the right to substitute any voucher with another of equivalent value without giving notice.
  12. The reward will be given to all eligible students on or before the 1st of December.
  13. The Reward will only be eligible to students who pay their first rent instalment in full, by 31st October. Any late payments after 31st October will not receive the Reward.
  14. The Reward is being managed by Abodus Student Living, who reserves the right to suspend, cancel or modify the incentive at any time (and for any reason) without notice.
  15. Abodus’s decision in respect of all matters to do with the incentive will be final and no correspondence will be entered into.
  16. This Reward is not to be used in conjunction with any other incentives offered by Abodus or any other third-party booking agents such as international agents.
  17. The Reward is being offered by Abodus Student Living.
  18. Abodus Student Living reserves the right to cancel or amend any or all parts of the offer and its terms and conditions without notice for any reason that is outside of our control.
  19. Abodus Student Living reserves the right to cancel or amend any or all parts of the offer if it is deemed student/s are taking unreasonable advantage of the Reward.
  20. This offer is only available for students with a signed and fully complete tenancy agreement on a 43-week, 44-week 50-week or 51-week contract
Rebooker & Cashback Incentives
Cashback Offer
  1. The Cashback incentive (Reward) is open to any student who books a room with Abodus Student Living, during the given period at the Abodus Student Accommodation Building that is running this incentive only.
  2. The Reward is limited and will be withdrawn once the number of available offers has been reached. Applications for room bookings received after this time will not be eligible for the Reward.
  3. The Reward is available for bookings for the 2022/2023 academic year only at Portland Green Student Village (Newcastle), The Foundry (Leeds), Hollingbury House (Brighton).
  4. This offer is only available for students with a signed and fully complete tenancy agreement on a 43-week, 44-week 50-week or 51-week contract.
  5. The Reward is subject to room availability.
  6. To be eligible for the Reward students must have completed and signed their tenancy agreement along with guarantor, paid their first rental instalment and moved into the property.
  7. Only one offer is redeemable per booking.
  8. This offer is not applicable for those coming through university nominations or referrals.
  9. Should a student withdraw from university in line with the cancellation policy they will not be entitled to any cashback offer.
  10. Should a student be released from their contract for exceptional circumstances, the cash back they will be entitled to will be pro rota. This will be calculated in term dates, not calendar weeks.
  11. To claim the Reward

a) On receipt of the application from the Student, the Accommodation Manager will verify the student’s eligibility to claim the Reward.

b) The Reward will be credited back to the student’s nominated bank account by the 31st of December 2022 and after the Landlord has received the first full rent instalment.

c) Only students who pay their first rent instalment in full, by the end of October 2022 at the latest will be eligible for the reward. Any late payments after the 1st of November 2022 will not receive the cash back reward.

  1. Should the student be in rent arrears by the deadline of the 1st of December, the cash back payment will not be paid.
  2. The Reward is being managed by Abodus Student Living, who reserves the right to suspend, cancel or modify the incentive at any time (and for any reason) without notice.
  3. Abodus’s decision in respect of all matters to do with the incentive will be final and no correspondence will be entered into.
  4. This Reward is not to be used in conjunction with any other incentives offered by Abodus or any other third-party booking agents such as international agents.
  5. The Reward is being offered by Abodus Student Living.
